2. Personal information we collect
We may collect personal information that you provide directly, generate through use of the app, or that is provided to us by technical service providers. This may include:
- name, email address and phone number;
- account login and profile information;
- family member details and household information;
- pet details;
- reminders, tasks, expiry dates, registrations and renewal information;
- uploaded documents and files;
- insurance, warranty, registration, legal, financial, tax, medical appointment, school and household records;
- payment and subscription information, processed through payment providers such as Stripe;
- device, browser, usage, analytics, diagnostics and crash information; and
- communications with us, including support requests and feedback.
3. Sensitive information
Life Admin may collect and store sensitive information if you choose to enter or upload it. This may include health-related information, medical appointment reminders, children's or school information, financial or tax information, insurance documents, identification documents, legal documents and other sensitive records.
We only want you to provide sensitive information where it is necessary for your use of Life Admin and where you have authority or consent to provide it. If you upload information about another person, you are responsible for making sure you have the right to do so.
4. Children and young people
Life Admin may be used by people of any age. If a user is under 16, we expect the user to use Life Admin with the involvement and consent of a parent or guardian.
Parents and guardians may use Life Admin to store information about children, such as school forms, appointments, documents and reminders. The parent or guardian is responsible for ensuring they have authority to provide that information.
5. How we collect information
We collect information when you:
- create or update an account;
- enter reminders, household details, pet details, family details or task information;
- upload documents or files;
- subscribe, pay or update billing information;
- contact us for support or feedback;
- use the app, website or related services; or
- interact with our emails, messages, promotions or analytics tools.
6. Why we use personal information
We use personal information to:
- provide, operate and improve Life Admin;
- create and manage user accounts;
- store and display reminders, documents, files and user-entered information;
- send reminders, notifications and service messages;
- process subscriptions and payments;
- provide customer support;
- maintain security, prevent misuse and detect technical issues;
- understand usage and improve app performance;
- send newsletters, app updates, offers, affiliate or influencer promotions and partner offers where permitted;
- comply with legal obligations and enforce our Terms and Conditions.
7. Marketing communications
We may send newsletters, app updates, offers, affiliate or influencer promotions and partner offers. You can unsubscribe from marketing emails using the unsubscribe link in the email or by contacting us.
Even if you unsubscribe from marketing, we may still send important service, security, billing or account messages.
8. Documents and file storage
Users can upload documents and files to Life Admin. Uploaded files are currently stored using Firebase or related infrastructure. We may also use other secure hosting, database, storage and backup providers as the app develops.
You should keep your own backup copies of important documents. Life Admin should not be your only copy of important records.
9. AI features
Life Admin does not currently use AI to read, summarise, classify or make suggestions from user documents. If we introduce AI features that process user content in a material way, we will update this Privacy Policy and provide appropriate notice or consent where required.
OpenAI or other AI-related providers may be listed in our technical systems or future roadmap, but user document processing by AI is not currently part of the service unless clearly enabled and disclosed.
10. Third-party service providers
We use service providers to run Life Admin. These may include:
- Stripe for payments and subscription processing;
- Google Analytics for usage analytics;
- Firebase for authentication, storage, hosting, database or related app infrastructure;
- Supabase for database or related backend services;
- email and SMS providers for notifications and communications;
- hosting providers;
- crash analytics and diagnostics providers; and
- professional advisers, security providers or support tools where needed.
These providers may access or process personal information only as needed to provide their services to us, comply with law, maintain security, or support Life Admin.
11. When we share information
We do not currently sell user data.
We may share personal information:
- with service providers who help us operate Life Admin;
- with payment providers to process subscriptions;
- where you ask us to share it or enable a feature that requires sharing;
- where required or permitted by law, court order, regulator or government authority;
- to protect the rights, safety, security or property of Life Admin, users or others;
- with professional advisers such as lawyers, accountants or insurers; or
- as part of a business sale, merger, restructure, financing or acquisition, subject to appropriate confidentiality arrangements.
We may use aggregated or de-identified information for analytics, reporting, product improvement, marketing and business planning. This information does not identify individual users.
12. Overseas users and overseas disclosure
Life Admin is available worldwide. We are based in Australia, but our service providers may store or process information in Australia, the United States, Europe or other countries where they or their infrastructure operate.
Where personal information is transferred or processed overseas, privacy protections may differ from those in your country. We take reasonable steps to use reputable providers and protect personal information in accordance with this Privacy Policy and applicable law.
13. Security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. This may include technical, administrative and organisational safeguards.
No online service is completely secure. You are responsible for using a strong password, keeping login details private, maintaining your own device security and telling us promptly if you suspect unauthorised access.
14. Data retention
We retain personal information for as long as reasonably needed to provide Life Admin, manage accounts, comply with legal obligations, resolve disputes, enforce agreements, maintain security, improve services and meet legitimate business needs.
If you delete your account, we will take reasonable steps to delete or de-identify account data that is no longer needed. Some information may remain for a limited time in backups, logs, payment records, legal records, analytics records or records we are required or reasonably entitled to keep.
15. Access, correction and deletion
You can access and update much of your information through your account. You may request access to, correction of, or deletion of personal information by contacting us.
We may need to verify your identity before responding. We may refuse or limit a request where permitted by law, such as where access would affect another person's privacy or where we need to retain information for legal reasons.
16. Account deletion
You can delete your account and associated data through the available account deletion process or by contacting us. Once deleted, your account and data may not be recoverable.
17. Cookies, analytics and tracking
We may use cookies, pixels, SDKs, analytics tools and similar technologies to operate Life Admin, understand usage, improve performance, remember preferences, troubleshoot issues and measure marketing performance.
You may be able to limit cookies or tracking through your browser or device settings, although some features may not work properly if you do so.
18. Data breaches
If we become aware of a data breach involving personal information, we will assess the issue and take steps required by applicable law, which may include notifying affected users and relevant regulators where required.
19. Complaints
If you have a privacy complaint, contact us first at info@uxel.org. Please include enough information for us to understand and respond to your concern.
We will take reasonable steps to respond within a reasonable time. If you are not satisfied with our response, you may have the right to contact the Office of the Australian Information Commissioner or another privacy regulator that applies in your location.
20. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will apply from the effective date shown on the updated policy. If we make material changes, we will take reasonable steps to notify users, such as by email or in-app notice.
